Streamlining Life Operations for Maximum Efficiency

As founders, we face many decisions every day. We always have something to focus on. It can be about managing a team or developing a product. Feeling overwhelmed can cause decision fatigue. This is the mental tiredness that happens when you face too many choices.

I’ve simplified decisions about what to pack for travel. Here are a few products that have saved me time and helped keep me organized but won't break the bank.

  • Apple AirTag 4 Pack – I use these to track my luggage and important items when I travel. It’s a small investment that saves a lot of hassle when you're on the go.
  • A $32 Laptop Backpack – This backpack is ideal for trips. It's my daily go-to. Plus, it’s water-resistant. It’s perfect for keeping my laptop safe, with plenty of space for everything else. Super cheap. I've had two now they last for years.
  • WAVLINK USB C to 2.5 Gbps Ethernet Adapter – Wi-Fi is nice, but this adapter helps you connect to FAST internet. No more limited to 1G connection.
  • WAOAW Sleep Mask for Travel – Sleep is important, especially on trips. This mask helps me rest during long flights. I own 6 of these and keep them in my suitcase, backpack and by my beds. Simple, inexpensive and portable.
  • AUVON Weekly Pill Organizer – This handy pill box makes it easy to keep track of your supplements stack on the go.

Just a few tools ready helps me cut down on decision fatigue. This lets me focus on more important tasks. Just a few grab bag of things that have helped me stay organized, save time, and focus on what matters most.

The “Life Ops” Framework

At first, the idea of having systems for your personal life may seem excessive. After all, we often think of systems as something only necessary for work. Making daily routines simpler can reduce stress. It helps you work better and enjoy life more.

The idea is simple: Making many small decisions can tire your brain. Deciding what to pack for a trip, where to eat, or what to do next can tire you out mentally. But what if you could remove the need to make these decisions altogether?

That’s where life ops comes in. Here are some ways I’ve simplified my routines to make life easier and more efficient:

  • Packing Strategy: I travel regularly and have a strict carry-on-only policy. No checked bags, ever. I keep a pre-packed travel kit with essentials duplicated and stored in a modular cube system. It makes last-minute trips effortless and keeps decision fatigue to zero.
  • Restaurant Selection: I keep a running shortlist of high-protein, low-carb-friendly restaurants near my usual cities—ranked by convenience, seating quality, and whether they’ll accommodate quick solo dining or client meetings. If one’s not obvious, I just default to the next one on the list—no scrolling, no second-guessing.
  • Travel Destination Criteria: When I need a reset, I don’t waste time comparing a dozen spots—I pick based on where I can get to in under 2.5 hours of flight time, has a world-class spa, and offers a pool or solid health amenities. That filter alone makes choosing getaways automatic.

These are just a few examples of how I apply this framework in my life. I can save my mental energy by automating these decisions. I can then focus on higher-level strategic tasks.

Practical Steps to Implement Life Ops

Here are some simple ways to start streamlining your life:

1. Set Up Systems for Daily Tasks:

Find tasks you do often, like packing, meal prep, or choosing workouts. Then, set up easy systems for each. This could mean taking only a carry-on bag or choosing not to eat at restaurants.

2. Use Checklists for Travel:

Make a checklist for each trip. It will help you travel easier. Make a list of everything you need to pack. Include toiletries and electronics. Keep this list handy. This way, you won't have to rethink it each time you travel. I'm a big fan of the Packing Pro iOS app.

3. Automate Daily Choices:

Automate or hire out things that drag you down - be it meal delivery, laundry services, or handywork. The less you decide, the more room you have for strategic thinking.

4. Use a Decision-Making Framework:

Set clear rules to limit your options. Having a clear plan can save time and energy. This applies whether you pick a vacation spot or stick to a quick morning routine. Why make travel especially a chore by just planning a bit ahead.

5. Clear Your Mind:

Take time for activities that help you think clearly. This could be exercise, reading, or just taking a break. The goal is to allow your brain to recharge so you can bring your best thinking to your business. Shower thoughts sometimes are actually useful.
